Make-Up Lesson Policy (2025)
This policy has been designed to provide flexibility for our students while also protecting the income of our teachers. It outlines the process for both student and teacher cancellations and how to use make-up credits.
1. Student-Initiated Cancellations
24-Hour Notice: To receive a make-up credit, you must cancel your lesson with at least 24 hours' notice.
Cancellation Limit: You are eligible for a maximum of two (2) make-up credits per term for student-initiated cancellations.
Prolonged Sickness: In the event of prolonged student sickness, please contact us directly to discuss your options outside of this policy.
How to Cancel: The easiest way to cancel is by logging into your My Music Staff (MMS) account.
Log into your account and open the calendar from the left-hand menu.
Locate the lesson you want to cancel.
Click on the appointment and select "Cancel Lesson" from the dropdown menu.
You can leave a message for your teacher to explain why the lesson was canceled.
Alternative Cancellation Methods: If you can't use the online system, you can text Claire at 07971224821 or email claire@westonshaw.com. Please note that verbal cancellations can be ambiguous, and we encourage you to follow up in writing to ensure the cancellation has been processed.
2. Teacher-Initiated Cancellations
If a teacher must cancel a lesson due to sickness or an emergency, you will be issued a make-up credit.
Notification: We will email you with the subject line "NO LESSON (Date)" as soon as we can. A quick response to acknowledge the message is always appreciated.
Credit Limit Exception: Make-up credits issued due to a teacher cancellation do not count toward your two-per-term limit.
3. Using Make-Up Credits
We offer two types of sessions for make-up lessons:
Recycled Time Slots: Open lesson slots that become available when another student cancels.
Dedicated Make-Up Days: Specific days nominated by our teachers, at the beginning and end of terms.
How to Book a Make-Up:
Log into your My Music Staff (MMS) account.
Your available make-up credits will be visible on the main page.
Click the blue button to go to your calendar, or find the calendar icon in the top left corner.
Locate either a "recycled" time slot or a dedicated "make-up day" that works for you.
Click the "Green Plus Man" icon and then click "Register" to book the lesson.
Important Notes on Booking:
You will not receive a confirmation email immediately, but you will see the session appear in your calendar. You will also receive the standard 24-hour reminder before the lesson.
All make-up lessons are booked as virtual lessons by default in the system. If your teacher teaches both virtual and in-person lessons, you can contact them directly to change your make-up lesson to a face-to-face session.
4. Make-Up Credit Expiration & Policy
Expiration: Make-up credits are valid for 6 months from the date they were issued. If you do not use the credit within this time, it will be automatically deleted from your account.
Active Registration: Make-up credits are only valid for as long as you are actively registered with our company. They cannot be used after you have withdrawn.
Credit Reports: We will manually run a make-up credit report weekly and email it to you approximately once a month. This report will show upcoming make-up days and any available sessions for the next month.
This policy will be available on our website, in the online resources of the My Music Staff portal, and on every invoice.
